The difficult part of a distant watch party is often the calendar. Make the time explicit and choose a program that respects the earliest morning and latest evening in the group.

1. Ask for local availability

Collect a couple of possible windows from each person. Write down which city or time zone each answer refers to. Check the date as well as the time when the group is far apart.

Ask for each person's city and available hours on the same calendar date. Write down constraints before proposing a time that only suits the host.

Check the actual date and cities in timeanddate's Meeting Planner before sending the invitation. Seasonal clock changes can alter the time difference.

2. Confirm one agreed time

Send the final start time with the relevant zone and ask guests to verify their local equivalent. Do not rely on a vague 'same time as last week.' Travel and local clock changes can make an old assumption fail.

Check the agreed instant for each city and send the local times together. Include the date if a guest's session crosses midnight.

For a structured way to prepare a screening, use the Into Film club planning guide and adapt the activities to your own group.

3. Choose a considerate running time

A short film or single episode can work better than a late-night double feature. Include arrival and discussion time in the plan. Prepare the Zopley source so setup does not consume the narrow window you found.

Add runtime, arrival and discussion before checking the latest finish. Choose a shorter title if the overlap is narrow.

The W3C accessible media guide explains captions, transcripts and audio description. Ask which options your guests need, then test them before the session.

4. Share the invitation separately

Keep the room link or code easy to find beside the confirmed date. If the time changes, clearly replace the earlier message. Let friends who cannot join know the next plan without making one missed screening feel like a problem.

Put the current room link in its own clearly labeled message. Keep time-zone negotiation separate so the invitation remains easy to find.
