A clear finish time makes it easier for people to join a screening. Count the whole evening, not just the number printed beside the film.

1. Include arrival time

Leave a few minutes for guests to enter the Zopley room and check sound. State whether the invitation time means arrival or playback. That small distinction avoids starting late while someone thought they were being punctual.

Choose an arrival window and include it in the total. If the film starts at eight, guests should know whether that means entry or the first frame.

For a structured way to prepare a screening, use the Into Film club planning guide and adapt the activities to your own group.

2. Add the program honestly

Include the movie, any second video and the breaks you expect. If you plan to discuss the film, leave room for that too. Tell guests when playback should finish and whether the conversation afterward is optional.

Add the exact video durations, breaks and discussion. Use the calculator to compare the total with the latest finish the group agreed.

The W3C accessible media guide explains captions, transcripts and audio description. Ask which options your guests need, then test them before the session.

3. Choose a shorter option when needed

If the available window is tight, choose a short film or one episode instead of rushing a feature. A useful session does not need to fill every minute. Keep the viewing source ready before the group arrives.

If the program exceeds that limit, shorten it before confirming the invitation. Do not assume guests will silently extend their availability.

Check the actual date and cities in timeanddate's Meeting Planner before sending the invitation. Seasonal clock changes can alter the time difference.

4. Keep extra viewing optional

Ask before adding another episode after the planned end. Some people need to leave even if they enjoyed the session. Share a separate next date so nobody has to choose between staying late and missing the group's agreed story progress.

Announce the end of the planned session at the credits. Offer further viewing as a separate choice for people who want to stay.
